Look at the Big Picture When Planning Your Event

When planning an event, it’s easy to get caught up in the big picture – finding a venue, booking catering, and choosing entertainment. One of the most important aspects before any of this is deciding on your event rental needs.


If you think about it, your guests will be spending most of their time interacting with the space! Event rentals are just as important as the food, decorations, and music when it comes to throwing a good event. There's an art to planning an event and choosing the right event rentals is part of that process. Remember, every detail matters.


Here are 6 things to consider before hiring an event rental specialist:

  • Number of Guests - This is the first thing you should know before hiring event rental company. Knowing how many people will be at the event helps you determine how much space there will be needed for everyone. If you have too little space for the number of guests that will attend, not only will it look cramped, but there could also be a safety hazard if people feel crowded or confined. 

On the other hand, if you have too much space for the number of guests that will attend not only will this be a waste of money (since you'll pay for extra room that isn't needed) but it could also look underwhelming and make your guests think that you didn't do as great of a job planning as you actually did. You want to be aware of how the guests interact with the rental equipment like tables, chairs, linens, china/silverware, tents, etc.

  • Budget – Is your budget larger or smaller than expected? If so this may affect the number and types of items you decide to rent. Your budget is spread across all the vendors you will hire but you still want to make sure the event decorations and ambiance are in line with your theme and your ideas of how you would like it to look. 
  • Theme and or Seasonal Decorations - It is important that the rental items match the theme of the event and also the venue where they will be used. You may want to hire tables and chairs which match exactly or if there are going to be lots of people attending then renting bigger items such as tents and marquees may be necessary. 

Ask yourself what would look good for the season. Is there something specific that needs to be included? For example, are there certain plants that are blooming now that would enhance an outdoor wedding or pictures? Or certain decorations or other decor that would make your event really stand out?

  • Functionality - Does the item you want to rent serve a specific purpose at the event? Will it be used as an add-on piece or a major focal point? Where will it be located at the event venue? Will it be moved or used for multiple purposes during the event?

These questions help guide the event rental company set up the decorations, tables, chairs, etc how you want and without much confusion.

  • Duration of Event - How long will guests stay at your event? If it's a three-hour cocktail party, then you might not need tables and chairs. However, if guests will be there for several hours, you'll want seating available. The venue may have seating in some areas but maybe not all of if. 

You want to make sure everyone is comfortable and has access to seats and tables when needed throughout the whole event or party.
